By-Laws of International Gymnastics Parents Association
Article I: Name
The name of this association shall be International Gymnastics Parents Association. Hereafter referred to as IGPA.
Article II: Purpose
The purpose of the IGPA is to foster and support the amateur athletes of International Gymnastics Gym by providing support to the various teams in all areas of competition.
Article III: Membership
Membership to the IGPA is mandatory for families whose children who are members of a competitive team representing International Gymnastics Gym. New members Membership Dues to the IGPA is $100 per family. Returning members Membership Dues to the IGPA is $30 per family annually. Membership dues are payable by the 1st of August. New IGPA members joining after August 1st will be given 2 weeks after they join to pay their annual fee. Members shall receive a copy of the bylaws and access to the member website. Member fees will be reviewed annually.
No part of the net earnings of the IGPA shall inure to the benefit of, or be distributable to its members, trustees, officers, or other private person except for reimbursement for expenditure that are directly related to the purpose of the IGPA.
Article IV: Officers
The IGPA will have elected unpaid officers to insure that its purpose is carried out. Officers terms run from, June 1st through May 31st. In the case of a member relinquishing their position a call for positions will be requested with a vote as needed. Officers will adhere to Bylaws and policies with positions and responsibilities to include:
President - Shall preside at all meetings. Shall serve as liaison between the IGPA and International Gymnastics Gym management. Shall coordinate volunteers as necessary.
Secretary - Maintains and records all minutes of Board meetings as well as General Membership Meetings. Shall be responsible for updating and maintaining the IGPA website and general communication to members.
Treasurer - The treasurer shall be the custodians of funds and account ledgers. They shall file all necessary documents with the Sate and/or IRS as required by law. They shall provide a Treasurer’s report for meetings as deemed necessary, including but not limited to the Annual General Meeting.
Team Representative - A spokesperson for each team, consisting of a representative from each Womens Gymnastics level 4-6 and one for all optional levels, as well as Mens, T & T and Cheer. Team/levels may consist of Board members filling the roles of the above mentioned positions as well as being the Team Representative.
In the event that a member of the board no longer has a child on a competitive team they will relinquish their duties as follows:
- Within 30 days of the child leaving the gym
- When under competitive body (i.e. USAG) affiliation is removed from the gym
- As determined by a 50% vote from the board members
In the event that a board member is not longer fulfilling his/her duties they may be voted out of their position by a 50% vote.
Article VI: Meetings
Board Meeting – Board meetings to discuss and coordinate the normal IGPA business and fundraisers will be scheduled as needed. All officers, fundraising coordinators and team representatives must attend. All other members are welcome.
New Member Meetings – A New Member meeting will be held prior to the start of your season.
New Member Meetings – General Member Meeting will be held each August/September. While these meetings are not mandatory, attendance is highly suggested.
Special Meetings – Special meetings may be held for particular portions of the IGPA, for example Compulsory Levels, Optional Levels, T & T, Cheer, Meetings will be held on a need basis.
Notice of Meetings – A notice of meetings will be posted on the IGPA website and on the IGG bulletin board.
Article VII: Quorum and Executive Board Voting
Quorum – 50% of the Executive Board must be present to constitute a quorum for all purposes. One of those 50% must be the President. Any member of the Executive Board shall be considered present at any meeting of the Board not withstanding his/her physical presence at a different location when he/she shall be in communication with the other members present at such meeting, either by phone, or e-mail and such votes will be documented and capable of both receiving and sending messages.
Voting – Each Board member has only one vote. A majority vote will rule. Voting may take place at board meetings via phone or e-mail and such votes will be documented and entered into the record.
Proxies – An Executive Board member may vote by proxy executed in writing by the member. Such proxies shall be filed with the Secretary before the time of the meeting.
Article VIII – Personal Liability
The Executive Board shall not be personally liable for any debt, liability or obligation of the organization. All personal, corporations or other entities extending credit to, contracting with, or having claims against the organization may look only to the funds and property of the association for payment of such contract, claim, or for payment of an debt, damages judgment or decree, or of any money that may otherwise become due or payable to them from the association.
Article IX – Fundraising
Fundraising will be done on three levels: Organizational, Team, and Personal. Various fundraising events and opportunities will be available throughout the year. A determination of the type of fundraising will be determined by the board prior to the event.
While most fundraising will be optional, mandatory participation for some events is possible (i.e. – hosting a meet).
Organizational Fundraising – Will benefit the entire IGPA. These are general fundraising opportunities for the good of the organization. (Benefits the gym)
Team – Will benefit the specific Team you are raising funds for (Womens Gymnastics, T&T, Cheer, or Mens Gymnastics). (Hosting a meet)
Personal – Will benefit the individual member to offset individual fees.
Article X – Volunteering
At certain times of the year there are volunteer opportunities. All members are asked to volunteer, both for the organization and the gym.
Committee Chairs – Will be responsible for planning, organizing volunteers as needed and reporting to the board. Committee Chairs will be needed for various activities and have a varying degree of time commitment. Committee Chairs are volunteers and not voting members of the board. The following Committee Chairs are available-
Meet Coordinators – are responsible for ensuring notification to members of upcoming meets and fees as well as scheduling attendees and ensuring information, including payment, is received by host gym in a timely manner. A meet coordinator is need for each individual team with womens gymnastics needing an optional and compulsory meet coordinator.
Home Meet Coordinator- is responsible for being the head liaison to the board and overall coordination of a home meet and its sub committees.
Uniform Coordinator – responsible for the annual coordination of team competition wear. The Uniform Coordinator will oversee the volunteers ordering uniforms for all teams.
Fundraising Coordinator – responsible for the overseeing of team and individual fundraisers, including liaison between fundraiser company and board, planning event and any subcommittees, collection of funds, distribution of goods and all aspects of the fundraiser.
Team Photo Coordinator – responsible for planning team and individual photos annually, as liaison between the photography company and board, scheduling, collecting of forms, distribution of photos, and all aspects related to the team photos.
Party Coordinator – responsible for the budgeting, planning and execution of team parties.
Article XI – Miscellaneous
Team Uniforms – Team Uniforms are ordered annually prior to the start of the season. Each team member is required to have all parts of the uniform, as specified by International Gymnastics Gym. Any changes made to the team uniforms will be determined by the Head Coach.
Competition – The coaching staff will determine the meets all teams will be competing. The coaching team will determine at what level your child will compete, as well as if your child is ready to compete and mobility between levels.
Fees – Membership fees are outlined under Section III. Meet fees will be evaluated at the beginning of each competitive season for each area of competition and approved by the Executive Board. Returned checks will be charged a $20 fee on top of any and all bank charges that occur.
Womens Gymnastics – Meet fees are determined by level, compulsories and optionals. The meet fees are dues are outlined in the IGPA Handbook. It is up to the Coaching team to determine if your gymnast is ready for competition. If your gymnast does not compete in the first meet, the meet fees will be held until she is ready to compete. Additional meet fee due dates will be determined based on meet deadlines.
